Privacy Policy

This Privacy Policy explains how Caveman AI LLC collects, uses, discloses, and protects information for its website, custom AI development and support work, hosted services, and SaaS services.

Scope

This policy applies to Caveman AI LLC websites, inquiries, custom AI development, support, hosting, and SaaS services that link to this policy. Current SaaS services include LBC Assist, available at lbcassist.com/privacy.

Specific services may have additional privacy notices, customer agreements, data processing terms, or in-application notices. If a service-specific notice or signed agreement conflicts with this policy, that service-specific notice or agreement controls for that service.

Information We Collect

Depending on how you interact with us, we may collect:

  • Contact details, such as name, email address, company, role, and project needs.
  • Messages, support requests, project requirements, files, and other information you provide.
  • Account and workspace information for SaaS services, including authorized users, settings, logs, and activity records.
  • Customer content processed by hosted services, such as project records, permit information, documents, diagrams, tasks, time entries, mileage entries, and related operational data.
  • AI service data, including prompts, instructions, uploaded content, generated outputs, tool actions, usage metrics, and troubleshooting logs.
  • Technical data, such as IP address, browser type, device information, pages viewed, timestamps, security logs, hosting logs, and error reports.
  • Billing, contract, and transaction information when you purchase services or enter into an agreement with us.

The public Caveman AI LLC website does not currently use third-party advertising cookies. SaaS services may use necessary cookies or similar technologies for authentication, security, session management, preferences, analytics, and service operation.

How We Use Information

We use information to:

  • Respond to inquiries and evaluate potential projects.
  • Provide, host, maintain, secure, monitor, and support our services.
  • Build and operate AI workflows, automations, integrations, and SaaS features.
  • Authenticate users, manage accounts, enforce permissions, and prevent abuse.
  • Debug errors, improve reliability, measure usage, and develop service improvements.
  • Process contracts, billing, payments, and business records.
  • Comply with legal obligations and enforce agreements.

How We Disclose Information

We may disclose information to:

  • Cloud hosting, email, identity, payment, analytics, monitoring, AI model, support, and infrastructure providers that help us operate the services.
  • Customer administrators, authorized users, and organizations that control a SaaS workspace or hosted environment.
  • Contractors, consultants, and professional advisors who support our business and are expected to protect the information.
  • Law enforcement, regulators, courts, or other parties when required by law or needed to protect rights, security, users, or the public.
  • Successors or counterparties in a merger, acquisition, financing, reorganization, or sale of business assets.

We do not sell personal information or share it for cross-context behavioral advertising. We do not use customer content from hosted SaaS services to train public AI models unless a customer agreement or written authorization specifically allows it.

Security Practices

We use administrative, technical, and organizational safeguards designed to protect information, including access controls, least-privilege permissions, SSH key-based server access, firewalls, service isolation, rate limits, logging, security patching, backups, and vendor review where appropriate. No method of transmission, storage, or hosting is perfectly secure, so we cannot guarantee absolute security.

Retention

We retain information for as long as needed to provide services, operate hosted systems, meet business and legal requirements, resolve disputes, enforce agreements, and maintain security records. Customer content in SaaS services may also be retained or deleted according to the applicable customer agreement, administrator settings, or service-specific policy.

Your Choices

You may contact us to request access, correction, deletion, or other handling of personal information, subject to identity verification, legal limits, security needs, and customer agreement requirements. If your information is controlled by an organization using one of our SaaS services, we may refer your request to that organization.

Children

Our services are not intended for children under 13, and we do not knowingly collect personal information from children under 13.

Changes

We may update this policy from time to time. The updated version will be posted on this page with a revised effective date.
